The Administrative Assistant must work well in an office setting with a diverse staff and interact with customers in a friendly manner.
Excellent oral and written communication skills required.
Must be able to communicate accurately and professionally to a wide variety of constituents.
Strong problem-solving and customer service skills required.
Must demonstrate discretion in dealing with medical and personnel sensitive information.
Job Description:
Administrative Assistants role is to support staff and the leadership team.
The administrative functions include but are not limited to:
Schedule appointments and manage calendars for WCMS Executive Director, staff and board of directors Board and Committee liaison for scheduling, meeting logistics, appointments, and general communication.
Greet and assist visitors to ensure a welcoming experience and good customer service.
Perform general office duties such as disbursing mail, filing, scanning, and data entry Oversee office supply inventory Coordinate routine building maintenance Answer and direct phone calls in a professional manner, sign for incoming packages Assist with event coordination such as staff retreats and WCMS events Support finance operations, including data entry Provide administrative support to WCMS programs, including Project Access, WIN, and Healthy Healer Support submission of grant applications Track HIPAA, OSHA, and other mandatory trainings Track status of WCMS service contracts Assist with recruiting and working with outside vendors as necessary Experience with and proficient with computers and software, including MS Office suite (MS Word, PowerPoint, Outlook, and database/spreadsheet software) TECHNOLOGY FUNCTIONS:

Ensure completion of employee IS accounts and hardware and access to appropriate functionalities of hardware and software 2.
Serve as main point of contact for WCMS IT issues to include:
Troubleshoot IT issues as they arise and outsource technical assistance as needed Maintain network users, email accounts, shared drives, desktops, software and hardware upgrades, and registration renewals of products Maintain accurate inventory of WCMS hardware and software Organize shared electronic folders Develop and present training on new hardware and software for WCMS employees.

Required:
High school diploma or GED required, Associate degree or higher preferred.
Will consider equivalent work experience At least one year of related experience is required.
Education may be substituted for years of work experience FOREIGN LANGUAGE SKILLS:
A plus but not required ORGANIZATION AND COORDINATION SKILLS:
Excellent detail and accuracy orientation, time management skills with the ability to track and comply with multiple deadlines.
Position requires the ability to handle appropriately and professionally multiple and competing priorities.
Excellent organizational skills.
PHYSICAL DEMANDS:

Sitting in a normal seated position for extended periods of time 2.

Regular attendance required WORK ENVIRONMENT:
Professional office setting.
Anticipated to be onsite for four days/week.
Some remote work possible.

The check will bounce and the victim is left responsible.
