, a full-service CPA firm with offices in Asheville, Charlotte, and Greenville, SC, is looking for an Administrative Assistant in our Asheville office.
As the Administrative Assistant you will be an integral part of our team and be responsible for a variety of administrative functions.
The ideal candidate for this fast-paced role is a self-motivated individual who is excited for the opportunity to work with a team of motivated professionals in a collaborative environment.
Training for the duties of the position will be provided.
There will be some interaction with clients by phone and in the office therefore the ability to communicate professionally is essential.
Qualifications 3 to 5 years relevant administrative support experience Previous experience in a professional services environment a plus Advanced Microsoft Office 2016 Effective organization and time management skills Strong written and verbal communication skills Ability to manage multiple tasks and shift priorities as necessary to meet deadlines Flexible demeanor, pro-active thinker, positive attitude, maintains confidentiality Willingness to step outside of the role to help other teams as needed Flexible scheduling options available:
part-time or full-time position offered Monday through Friday Responsibilities Being the face of the firm when someone visits that office location.
Being able to let clients in, offer beverage and seat them in a conference room.
Answer phones.
Screen calls to make sure to send to correct person/voicemail.
High level of professionalism and confidentiality while in the office and in communications within and with external clients Provide administrative support to all lines of business; to include, document preparation, presentations, calendar management, and meeting coordination Regularly checks in with the administrative department Using advanced MS Word, MS PowerPoint, and MS Excel skills to set up projects Work in a detail-oriented manner to ensure accurate work products Listens well and asks pertinent questions to ensure thorough understanding of projects and tasks Support incoming and outgoing mail processes for the firm (Certified, Priority, FedEx, UPS) Weighing and applying correct postage to outgoing mail.
Being able to track important mail documents for each department Support the Controller with deposit and posting of checks and various accounts receivable/payable duties Scan client documents into the software system.
Assemble Tax returns and bind client copies.
Ensure the workroom is neat and orderly and free of sensitive documents out in the open Ensure kitchen is stocked and clean (wipe down counters as needed, load/unload dishwasher Being aware of employees schedules and their office location dependent on day Maintain inventory of office supplies to ensure availability for daily operations Assist in placing lunch orders and coordinating catering services for meetings and gatherings This is not a remote position, and candidates should expect to work from our physical offices.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
